Communications 101
This Communications 101 Guide will once again be shared with all staff in today’s Educator Digest.

Temperature Guidelines
With high temperatures, it is important that we encourage students that are outside to drink water and get breaks in the shade. When temperatures are 95 degrees and above, activities should be adjusted to reduce strenuous exercises. When the temperature is 100 degrees at the time of the activity, bring the students inside. Any time it is 100 degrees or above, students must be brought inside. For example, if the forecast is a high of 102, but at lunchtime, it is 92, students can go outside and play.
With all warm days, staff should be encouraged to remind students to reduce running/exertion activities and allow any student who complains of overheating to go to the office for rest and observation. With direct sun, certain areas of a school site may increase heat exposure, such as blacktop or concrete areas. Caution should be taken to observe all students for signs of overexposure.
Students who are abnormally affected by high temperatures should be given special consideration, and require follow-up by staff.

Raptor
Over the summer, Raptor released an upgrade to their alert system. In order to ensure timely and consistent delivery of notifications during Emergencies and Drills, upgrading to Raptor Alert 4.1.2 will be required for all users of the app - both iOS and Android. For those with auto-updates enabled, the app will upgrade automatically. Otherwise, users will be required to update to the newest version the next time they login.
As you see staff in Raptor that are no longer at your site, please submit a ticket on Zendesk.

STOPit Updates
STOPit has created an update to their platform. Moving forward, every incident closure will now require you to assign the incident to someone and select from your actions taken list.
Last year launch letters were provided for you to send to your families. This year a similar letter needs to be shared reminding families about the program. Please open the template below and copy the information to share with your families. There are highlighted yellow areas you will need to change. Middle School is first, then scroll down for elementary.
Middle School, please note that information has been added about downloading the app at home if the family chooses to do so. During classroom training teachers shouldn’t have any kid try and download the app. Not only do we want this to be a parent decision, but we also want to support the message around cell phones at school. If a student wants to make a report at school, they will use their Chromebook. Also, please remember to send home the letter and copy of the training slides at least a week before training occurs to allow time for parents to review.

Emergency Alert Buttons
Please review this sheet for your emergency alert contacts. These people will be alerted when the emergency alert button is pushed and will allow you to determine if it is accidental or a real emergency. Please update by August 7th in order for Sonitrol to get the updates in for the start of the year.

Student Schedules
As a reminder, sites will send out schedules electronically this year, the morning of August 6th, no later than the end of the day on August 6th. Below are instructions on how to send out schedules. After receiving feedback last year, we made a few updates to the email parents receive, and the letter that will be attached
Elementary and middle school have different letters, and also the student’s first name will be in the subject of the email, that way parents know which child the schedule is for. Please connect with your secretary to make sure they have these instructions, the welcome message for the email (there is a sample in the guide below), as well as plan what time you will send it out.
PowerSchool | Creating and Emailing Student Schedules
If you or your clerical staff need any technology assistance with sending out schedules, please submit a support ticket or give the help desk a call at (916) 771-1645, and they will be happy to assist you.
Here is a sample of what parents will receive.

Introducing the Digital Staff Emergency Contact Form
As we kick off the 2024 school year, we're excited to introduce the digital Staff Emergency Contact Form, a new tool for all staff.
Link: Staff Emergency Contact Form
Why This Matters:
  • Safety First: Emergencies are unpredictable. Updating your emergency contact information, you help us respond quickly and keep everyone safe.
  • Swift Communication: In urgent situations, time is critical. The Digital Staff Emergency Contact Form lets us reach you or your contacts fast, ensuring clear and timely communication when it counts.
We would like to encourage all staff to take a moment to fill out the form below. It's a simple yet crucial step in ensuring we're all prepared for any situation. Your safety and well-being are our top priority, and together, we can create a secure and responsive school environment.
Principals, please remember to share this information with your staff. Teachers will be able to submit their information directly through PowerTeacher.

IMAP/POP3 Email Settings Disabled - Action Required for Continued Email Access
In our ongoing efforts to maintain a secure infrastructure, we disabled IMAP/POP3 settings on June 30th, 2024. This change was necessary to enhance the security of our email system and protect sensitive information.
We understand this adjustment may impact how you access your emails on personal devices. To ensure uninterrupted email access, please use the Gmail app for iOS or Android. The Gmail app offers robust security features and a seamless user experience, making it the ideal solution for accessing emails on various devices.

Important: Action Required to Maintain Secure Network Access
As part of our annual network updates, staff need to accept a new certificate before reconnecting to the wireless network. These certificates are essential for ensuring your connection to the District Network remains secure and trusted.
When prompted to verify the certificate, please click ‘Continue’ as shown below (please note the prompt you receive might differ depending on the device you use).

Next, you will be prompted to enter the username and password you used to log in to your computer, as shown below. (Please note that the prompt you receive might differ depending on your device.)

After completing these steps, you should be able to reconnect to the network as usual. If you encounter any issues during or after this process, please call the helpdesk at (916) 771-1645, and we'd be happy to assist.
