Middle School - After School Sports Stipends
This is a reminder of the process for requesting an additional coaching stipend when student participation exceeds the standard ratio.

Sports Included: Wrestling, Cross Country, and Track
Coaching Assignment Breakdown:
  • 1–39 students: 1 coach
  • 40–79 students: 2 coaches
  • 80–119 students: 3 coaches
  • 120+ students: 4 coaches
Request Process:
  1. If student participation exceeds 40 or more in the sports listed above, an additional stipend may be added.
  2. The Principal must complete a Form 41 to request the additional coach.
  3. The Form 41 must be accompanied by a current student roster for the sport.
  4. Requests will be processed in alignment with the coaching assignment breakdown listed above.

StudentSquare - Middle School Launch September 2, 2025
You asked for it and now it’s here! RCSD will be launching the student version of ParentSquare, StudentSquare, on September 2nd. Staff members can now email students through StudentSquare and students can access the emails via their traditional Gmail platform or (outside of school hours) the free app. More information will be shared with middle schools in the coming weeks.

School Site Council (SSC)
These slides are an overview of the School Site Council. If you plan to use these slides (or parts of them) for your SSC meeting, please make adjustments to the language. These were written for site administrators, not SSC. Please make sure that you have the required number of people to serve on your SSC, and keep documentation of the election process. Slide 8 has been updated to ensure detailed minutes are taken at the meeting. This timeline on slide 14 has also been updated. We are shifting our safety plan to earlier in the year since SPSAs are now later. This is just an idea/sample to help you plan.

SWIS Student/Staff Rosters
Almost all schools have students listed in SWIS who do not attend the school anymore. When you update your SWIS roster for this year, follow the video below for how to clear out former students and only upload current students. Either PBIS lead or site admin need to do the below processes asap.

Staff Import (from powerschool report)
Adding individual staff and changing access level- staff who are new to your site need to go to either admin or PBIS lead to get this updated. In the educator digest this week, staff were instructed to go to admin/PBIS leads.

2025 CA PBIS Conference Volunteers
California PBIS is in need of more volunteers for the 2025 California PBIS Conference at the Safe Credit Union Convention Center in Sacramento. Registration to just attend the conference is $450 per attendee, however if attendees volunteer for 1 session, the rate is highly discounted. Please email Julie Murdaugh (jmurdaugh@placercoe.org) at PCOE as soon as possible with staff names/emails so she can send the volunteer registration information. If you’ve already signed up for a staff member to attend and paid the full price, we can get you a reimbursement if they’d like to volunteer instead of just attend.

Safety Plan
New CA legislation requires all sites to have an Instructional Continuity Plan (ICP) that outlines how students will receive instruction and support in the event of an emergency closure. This came out of wild fires and school closures in CA. A standard ICP has been created for the district and is now in your safety plan. Please review it so you are familiar with the basic language if asked about it. It will be part of the approval this year for your SSC or Safety Team.

Personnel Services

School Initiated Student Activities (RTA CBA Article V, H, 2)
This article applies to activities ON the school site. We cannot require staff to supervise activities off campus. If your PTC sponsors events off campus (i.e., Skate Night, etc.), staff are not required to supervise. Any supervision at an off site event would be voluntary only and not count toward the School Initiated Student Activity supervision sign up.

Evaluations Update
Please begin working in Evaluat’d for all classified and certificated evaluations. We are close to having everything rolled over! We will extend the F1 deadline to August 22 for anyone who has not submitted their F1s. There are no more shared spreadsheets: the lists and assignments all are housed directly in Evaluat’d.
Tip: if you have a lot of people in your dashboard, use the search bars under column titles to filter certificated/classified, employment status, job titles, etc!

Evaluations: New Staff Members
Staff members are input into Evaluat’d through Escape on a nightly basis. In order for a new staff member to appear in your dashboard, they need to have an account and a position assigned in Escape. If they do not appear on your dashboard yet, they may not have completed their processing, but they will soon. We do not have the ability to manually input staff members into the system.

Evaluations: Permanent Staff Members (Certificated)
Please use the Years of Service column to calculate the employee’s phase: Phase 2 = 3-10 years of service, every other year, Phase 3 = 11+ years of service, every 5 years.

Evaluations: Multi-Site Teachers & Classified Employees
  • Teachers who are at multiple sites (PE, some special ed) will only appear on one evaluator’s dashboard. Please share with Katherine who will be handling these evaluations if you haven’t already done so.
  • Classified Employees are put into Evaluat’d but are in the process of being corrected.
Evaluations: Schools/Departments with Multiple Evaluators (Exception: Food Services)
  • Evaluators will see all site/department employees who are due for an evaluation on their dashboard, until an administrator begins their evaluation.
  • Once the administrator starts the evaluation, that individual will be removed from the other administrator's dashboards.
  • If you need to change who handles that evaluation after starting one, we will manually change it in Evaluat’d.
  • Employees in Food Services will be assigned directly to their supervisor.
