Lead Custodians must complete one form for each ladder on site. Once complete, scan and upload forms to the Maintenance & Facilities drive- Ladder Inspection 26/27. Label each scanned document with the school name. If there is more than one ladder, number each file accordingly (1, 2, 3, etc.). Example: Maintenance1, Maintenance2, Maintenance3

Facilitron- Facility Use Request
Please review and approve or decline facility use requests in a timely manner. Your role is simply to confirm whether the facility is available by giving a request a thumbs up or down. You do not need to review or worry about requirements such as COI, workers’ comp, or payment. Our team at Facilitron handles those requirements.
Important: Please do not approve or decline reservation change requests. Instead, respond to the change request by adding a comment on the reservation. This will alert me, and M/F will make the necessary change based on district policies.

It is important that all sites elect a DELAC representative each school year. If you have not done so already, please complete the 2026-2027 DELAC Site Representative Form by 10/16 to share the name of your site DELAC representative for this school year. DELAC meetings will be hosted on Google Meet from 5:00-6:00 pm on the following dates: 10/20, 12/15, 2/2, 3/16, 5/18. Jennie will reach out to all representatives to welcome them to the team. English Learners and Designated ELD
Initial ELPAC scores are now available, which means we have updated proficiency-level information to help guide instruction for our English Learners. Designated ELD groups should now be established, with Designated ELD instruction taking place daily and clearly reflected on teacher schedules. Please ensure that Designated ELD is occurring daily at your site and that teacher schedules reflect the designated instructional time. Thank you for your continued leadership and support in ensuring our multilingual students receive consistent language development instruction each day!

Google Drive Storage Updates for Students
In July 2022, Google Workspace transitioned from unlimited storage to a pooled storage model. Under this model, the District’s total Google storage allocation is shared across all users and Shared Drives.
Since September 2025, RCSD’s Google Drive storage usage has increased by approximately 8 TB. As storage continues to grow, we need to be more intentional about how the District allocates storage so it remains available and sustainable for instructional and operational needs.
Student Google Drive Storage Limit
On October 1, 2026, student Google Drive accounts will now be limited to 20 GB of storage. For most students, 20 GB provides enough storage for Google Docs, Slides, Sheets, assignments, and other instructional materials. Students who have accumulated larger files over time, however, may need assistance reviewing and removing items they no longer need.
How Staff Can Help Students Free Up Space
If a student is approaching or has reached their storage limit, please encourage them to review their Google Drive and remove unnecessary files. Some good places to start include:
Middle School students can also attend Genius Hour in the library for help identifying and removing large files they no longer need.
What If a Student Needs More Than 20 GB?
We recognize that legitimate instructional situations may require a student to have additional storage.
If a student has a demonstrated need for more than the standard 20 GB allocation, Technology Services can review the student's Drive usage and support additional storage if needed. Please submit a Zendesk ticket with the student's information and a brief description of the instructional need. We are happy to review these requests individually.

On October 1, 2026, Technology Services will be updating Toshiba copier scanning options to strengthen security and reduce unnecessary access to District data.

What is changing?
- Foothills scan-to-folder option will be removed (e.g., SITE-SHARE, BUSINESS-SHARE, ED-SERVICES, etc.). Toshiba copiers are considered Internet of Things (IoT) devices and are managed in part through third-party hardware and services. Providing these devices with read/write access to a District file server creates unnecessary access to potentially confidential information. Removing this connection follows the security principle of least privilege by limiting copier access to only the systems and data required for their intended function.
- Scan-to-email will use secure links accessible only within the district's network. Instead of receiving a scanned document as a permanent email attachment, staff will receive a secure link to access the scanned file. This reduces the number of scanned document copies retained in email and limits long-term exposure of sensitive information.
